Migrating data from another system¶
Switching to Gem Logic from another system is straightforward. Whether your data lives in old desktop software, spreadsheets, or another provider, you can import it into Gem Logic using CSV files. Our team can handle the migration for you, or you can do it yourself using the built-in import module.
How it works¶
The migration process follows three simple steps:
Export your data from your current system in Excel or CSV format.
Import it into Gem Logic – either by sending the files to our team or by using the import module yourself.
Verify and go live – we review the imported data together, train your team, and you are ready to start working in Gem Logic.
What data needs to be migrated¶
There are three types of data that are essential when switching systems. These are the non-negotiables that need to come with you:
Products and stock: your full inventory including descriptions, pricing, materials, weights, and any other product details you have been tracking.
Contacts: your customers and suppliers with their contact details, addresses, and any notes or preferences you have stored.
Sales and repair history: your past sales transactions and repair records, so you keep a complete history of your business activity.
These three data types cover what matters most for a smooth transition. If you have additional data that you would like to bring over, we can discuss that on a case-by-case basis.
Your right to your data¶
Your current software provider is obliged to give you access to your data. They must either provide you with a direct export or offer a straightforward way for you to extract your information. This is your data and you have every right to take it with you when switching providers.

Two ways to migrate¶
We do it for you¶
Simply export your data and send the files to our team. We will map everything to the right fields, import the data, and verify it together with you. This is included as part of the standard onboarding process at no additional cost.
Do it yourself¶
Gem Logic has a built-in import module that you can use to import data at your own pace. Here is how the self-service import works:
Navigate to the list view of the records you want to import (e.g. Products, Contacts, Sales).
Open .
Download an empty CSV template. Templates are available in US format (comma-separated) and EU format (semicolon-separated).
The template contains two header rows: the first describes each field and the second contains the internal field names. Do not modify or remove these header rows.
Fill in your data starting from the third row. You can remove columns you don’t need.
Upload the completed CSV file and submit.
The import runs in the background. You will receive an email when it is complete, and you can check the results in .
Tip
When preparing your CSV file, make sure the column names match the template provided by Gem Logic. The system uses these column names to map the data to the correct fields. If you are unsure about how to structure your file, send it to our support team and we will help you prepare it.

Supplier orders
Customer purchases
For most migrations, you will only need to import products, contacts, and sales or repair history. The other record types are available if needed.
