Inventory counts

The Inventory Counts module lets you verify your physical stock against what Gem Logic has on record. Create a count for a storage, scan or add products, and instantly see what matches, what is missing, and what is over.

Creating an inventory count

Navigate to Stock ‣ Inventory counts and click Create inventory count. Select the storage you want to count and optionally give it a name.

Scanning products

On the detail page, use the barcode input to scan products one by one. Each scan increases the count for that product by one. The system looks up products by SKU, EAN code, or supplier reference.

A success sound plays when a product is recognized, and an error sound when it is not found.

You can also use the product search to find and add products manually, or click Add quantity on an already-scanned product to enter a specific number.

Filtering which products to count

If you only want to count a subset of your inventory, open the Filters modal and select one or more of the following:

  • Brands

  • Categories

  • Suppliers

  • Collections

  • Product statuses

  • Tags

  • Creation date range

When filters are active, the summary and discrepancy calculations only consider products matching your filters. A badge on the filters button shows how many filters are active.

Discrepancies

The Inventory comparison card on the right shows three tabs:

  • Under (red): Products where the scanned quantity is less than expected, including products that have stock but were not scanned at all.

  • Match (green): Products where the scanned quantity matches the expected stock.

  • Over (amber): Products where more were scanned than expected.

From the “Under” tab, you can click Add on unscanned products to quickly add them to the count.

Summary

The summary bar shows the total expected units in the storage and the total scanned quantity, giving you a quick overview of counting progress.

Configuration options

Open the Config modal to enable special behaviors during scanning:

  • Add to storage inventory: Every scan adds the product to your storage inventory (+1).

  • Add to storage inventory (max 1): Only adds to inventory if the product currently has zero stock.

  • Add excess to inventory: When the scanned count exceeds the expected stock, the excess is added to inventory.

  • Change product status to: Automatically update the product’s status when it is scanned.

These settings apply at the moment of scanning — they do not affect previously scanned products.
