Roles and permissions¶
Permissions in Gem Logic are managed through roles. Instead of assigning permissions to individual users, you create roles with specific permissions and assign those roles to users. Only admin users can create and manage roles.
Roles¶
A role groups a set of permissions together. Each user can be assigned one role at a time.
Creating a role¶
Navigate to . The roles list is displayed below the users list.
Click Add role and give the role a name.
On the role detail page, toggle the permissions you want to assign. They are organized into groups by area (sales, operations, catalog, customers, finance, and data and insights).
Go back to the users list and assign the role to the desired users using the Role dropdown.
Note
A new role starts with every permission enabled. To restrict what a role can do, turn the permissions you don’t want off after creating it.
Available permissions¶
On the role detail page the permissions are organized into groups that mirror the areas of Gem Logic.
Sales¶
The order types the role can open and manage:
Sales – view and manage sales.
Quotes – view and manage quotes.
Repairs – view and manage repairs.
Memos – view and manage memos.
Creations – view and manage creations.
Operations¶
Shipments – manage shipments and tracking.
Tasks – manage tasks and project coordination.
Worksheets – create and manage worksheets and timesheets.
Agenda – create and manage agenda and appointments.
Automation – create and manage automation workflows.
Catalog¶
Product / stock – create and manage inventory and the product catalog.
Certificates – create and manage certificates.
Files – manage files and document storage.
Customers and communication¶
Contacts – access contacts and customer information.
Emails – manage email communications and templates.
Finance¶
Accounting – access the accounting module and financial data.
Transactions – access transactions and payment information.
Billing – manage billing and subscription plans.
Data and insights¶
View graphs – access charts and analytics throughout the system.
Export data – export and download files (CSV, Excel, PDF).
Delete – delete and archive records throughout the system.
View costs and profits – access product cost and profit information.
Note
Admin users bypass all permission checks and always have full access to every module, regardless of their assigned role.
Hide costs and profits from some users¶
To stop certain users from seeing purchase prices, costs, margins and profit, give them a role with View costs and profits turned off:
Create or edit a role under .
In the Data and insights group, turn View costs and profits off.
Assign that role to the users who should not see cost and profit information.
Those users then see cost and profit data hidden across the app — in product lists, on orders, and in reporting. Admin users always see costs and profits regardless of their role.
