Tasks¶
The Tasks module lets you organize work with tasks and projects. Tasks can be viewed on a Kanban board or in a list, assigned to team members, linked to contacts and orders, and tracked through customizable statuses.
Kanban board¶
Navigate to to open the Kanban board. Tasks are displayed as cards organized in columns by status. The default statuses are Created, In progress, and Completed.
Drag and drop a task card between columns to change its status. A progress bar at the top shows the overall completion percentage.
Use the filter pills to narrow the board by:
Team member – show only tasks assigned to a specific person.
Week – show tasks planned for a specific week. Use the arrows to navigate between weeks, or click Move tasks to next week to reschedule all tasks from a week.
Additional filters are available for status, project, contact, creator, deadline, and date range.
Tip
Your filters are saved automatically so the board remembers your last view.
List view¶
Click the list icon to switch to a table view. The table shows task title, status, project, contact, assigned users, and creation date. You can export the table data from this view.
To set your default view (Kanban or list), use the view preference toggle. Gem Logic remembers your choice.
Create a task¶
Click Add task or the + button on any Kanban column. Fill in the following fields:
Description – a rich text description of the task.
Title – optional; auto-generated from the description if left empty.
Status – defaults to Created.
Assigned to – one or more team members.
Project – optionally group the task under a project.
Contact – link to a customer or supplier.
Deadline – a due date and time.
Planned date – a target date for planning.
Week – assign the task to a weekly period.
Private – hide the task from other users.
Color – color-code the task card.
Tasks can also be created from other parts of Gem Logic, such as from an email thread or an order.
Task detail¶
Click a task card to open its detail page. From here you can:
Edit all task fields.
View and add documents attached to the task.
Track time spent using worksheets and the start timer button.
See the activity log (chatter) with status changes and comments.
Duplicate the task.
Send an email related to the task.
Flag the task for priority.
Contact notifications¶
Enable Notify contact on a task to send an email to the linked contact when the task is created or its status changes. Select which email address to send from using the Notify with email field.
Projects¶
Projects group related tasks together. Navigate to to see all projects.
Each project has:
Title – the project name.
Description – a text description.
Contact – an optional linked contact.
Status – the project status.
Collaborators – team members working on the project.
The project detail page shows all tasks grouped by status (created, in progress, completed) with a completion count.
Statuses¶
Tasks and projects use statuses to track progress. Three default statuses are provided:
Created – the task is new.
In progress – the task is being worked on.
Completed – the task is finished.
You can add custom statuses from . Each status has a name, color, and display order. Custom statuses appear as additional columns on the Kanban board.
Deadline reminders¶
When a task’s deadline passes, Gem Logic automatically sends a notification to the task creator and all assigned team members. This includes both an in-app notification and an email reminder.
